CVIOS MINUTES JAN 19, 2025 GENERAL MEETING1. Meeting called to order at 11:30am. 2. Welcome, new members and guests. 3. Members in attendance: 31 Guests: 2 4. October 27 meeting minutes. Approved by Sheila; Second by Alexey 5. Membership see William. Membership form needs to be filled out. Currently we have 55 members. 6. Treasurers Report presented by Leslie Milne. Key comments included that the society has had some expenses from speakers; AOS show expenses; and a new microphone was purchased. Approved by Shirley; Second by Dora 7. Executive Meeting: (a) Discussed guidelines for speaker expenses pertaining to travel, accommodations, and meals. Bernie outlined what was discussed by the executive in terms of common sense guiding principles for approving speaker expenses. For example, billet where possible; public transit versus taxi; ferry versus float plane (unless vehicle required); negotiate with other societies sharing the same guest speaker to split/defer costs; the point is to be reasonable with costs as our budget cannot sustain multiple significant expense claims. (b) PA system, agreed to purchase proper microphone. Bernie outlined the need to upgrade the microphone so as to improve sound for those with hearing difficulties. (c) Having a bag draw to raise funds for speakers either monthly or every other month. Bernie outlined a plan to hold bag draws every other month as a way to raise more funds for guest speakers. General consensus among members was positive; agreement to hold bag draws every other month, and hold 50/50 and/or door prizes in the alternate months. 8. New Business: (a) Leslie to talk about the upcoming show. Leslie spent some time outlining our upcoming orchid show at Nanaimo North Town Centre Feb 28 to March 2 2025; Feb 27 will be for set up and Sunday is a partial day to account for take-down; Friday is the day for judging; there are 7 judges attending the show and all of them pay their own way aside from a stipend that our Society will pay them; there are sign-up sheets for those interested in volunteering to help out; as an incentive, Leslie pointed out that volunteers who assist on Thursday will have early access to plant purchases; Sunday, take down will commence at 2:30 pm sharp; Paramount Orchids will have plant orders available up until Feb 23 for pick-up at the show; hoping that Roehampton will send some plants for us to sell at the show, however details are still being ironed out; Leslie is looking for someone to organize the judges- putting people into groups, make sure everyone on the same page; show posters are ready and look fantastic! (b) COC calendars are available, $20 each and only 7 left. Please see Sheila. (c) Michael to showcase several books from the library and present books to be added to the library. Michael made some recommendations for purchase of new books and magazines for the Society. (d) Pass around show sponsor sheet (to solicit donations for each category of winner at the upcoming show). (e) Paul Paladet green house tour. Dates available are Jan 23-29, first two weeks of March and after April 9. Discussion followed to confirm dates and sign up sheet passed around to arrange carpooling. (f) Display table, presented by Sasha Kubicek. (g) Need a photo of a member with their plant for advertising the show in local papers. 9. Lunch break 10. Bag draw 11. Guest speaker, Lynne to introduce Sasha Kubicek followed by question period.
